Notetaker settings

Configure Clarify's cloud-based notetaker - auto-record settings, transcript-only mode, recorder name, background image, and how to disable recording.

💡 This article covers settings for Clarify's cloud-based notetaker, which joins your meetings automatically. To compare recording methods or set up local recording, see Meeting recording.

Configure how Clarify's notetaker joins and records your meetings - auto-record preferences, transcript storage, recorder name, background image, and more.


Calendar sync required

To use the notetaker, first sync your calendar with Clarify. This allows Clarify to identify and join the right meetings on your behalf.

💡 Sync your calendar from the Settings menu or during onboarding.


Auto-record settings

By default, the notetaker is disabled. To enable it:

  1. Click your avatar in the bottom-left of the sidebar, then click Settings.

  2. Navigate to Email and meetings → Meeting recording.

  3. Choose your preferred recording option:

    • All – records every meeting on your calendar

    • External only – records meetings with participants outside your company (recommended)

    • None – disables automatic recording

Clarify recommends "External only"

That said, some teams prefer to capture all meetings to centralize knowledge or use Clarify beyond just CRM use cases. Choose the setting that fits your workflow best.


Account-level settings

Individual users can override workspace recording settings via Account-level settings:

  1. Navigate to Account → Email and meetings → Meeting recording.

  2. Set your personal recording preference.

Unless an admin has enforced the workspace scope (see Enforce the recording scope below), account-level settings take precedence over workspace defaults.

When multiple Clarify users are in a meeting, Clarify applies the most permissive setting among participants. For example:

• User A: None + User B: All → Recorded (All wins)
• User A: External Only + User B: All → Recorded (All wins)
• User A: External Only + User B: None → Recorded for external participants only (External Only wins)

If any authorized participant wants the meeting recorded, Clarify will respect that setting - unless an admin has enforced the workspace scope.


Enforce the recording scope

Personal settings normally win, which means one member set to "All" can pull the notetaker into calls the rest of the workspace wouldn't record. Admins can turn that off.

  1. Go to Settings → Workspace → Email and meetings → Meeting recording.

  2. Set the workspace recording scope.

  3. Turn on Enforce for all members.

With this on, the workspace scope applies to everyone. Personal recording settings are ignored, both stricter and looser ones, and the most permissive setting no longer wins. Members see their own recording dropdown disabled, with a note that their admin enforces the workspace scope.

Turning it on or off re-evaluates meetings that haven't finished yet, so notetakers may be added to or removed from calls already on the calendar. Meetings that have already ended aren't affected.

Only admins can change this setting.


Disabling automatic recording

Stop the notetaker from joining meetings at the account, workspace, or per-meeting level.

⚠️ Disconnecting your calendar does not stop the notetaker. Disconnecting stops Clarify from syncing new calendar data, but meetings already synced while you were connected stay in your account and remain eligible for recording - including future dates of a recurring meeting. Set Auto-record to None to cancel them. That works whether or not a calendar is still connected.

For your account only:

  1. Go to Settings → Account → Email and meetings → Meeting recording.

  2. Set Auto-record to None.

For the entire workspace (admins only):

  1. Go to Settings → Workspace → Email and meetings → Meeting recording.

  2. Set the recording option to None.

For a specific meeting:

  1. Open the meeting in Clarify.

  2. Toggle recording off before the meeting starts.

⚠️ If another Clarify user in the meeting has recording enabled, the most permissive setting wins - the notetaker may still join even if you've disabled it for your account.


Record only specific meetings

To keep the notetaker out of your calls by default and bring it in only when you want it, turn recording off at the account level and switch it on per meeting.

  1. Go to Settings → Account → Email and meetings → Meeting recording and set recording to None.

  2. Open the meeting in Clarify and switch on the Record toggle before it starts.

The notetaker joins that meeting only. Everything else on your calendar stays unrecorded.

⚠️ Set the recording option to None first, then switch on individual meetings. Changing your recording setting re-evaluates every upcoming meeting and clears selections you have already made. Moving or rescheduling a call does not clear them.

ℹ️ The most permissive setting still applies. If a teammate on the call has recording set to All or External only, the notetaker joins anyway. Admins can override this with Enforce for all members (above).


Customize your recorder name

By default, your recorder appears as [Your Workspace Name] Notetaker when joining meetings. Change this anytime in Settings → Workspace → Email and meetings → Meeting recording.

ℹ️ The Clarify notetaker only joins meetings that came from your calendar. It cannot be manually added to a meeting that was never synced. This is about where meetings come from, not about what disconnecting stops - see Disabling automatic recording above.


Downloading and deleting recordings

Find the download and delete controls under the recording itself. Click the ellipsis at the top of the recording window to access options for downloading the video, downloading the transcript, or deleting the recording.


Transcript-only mode

When enabled, Clarify captures and stores transcripts and AI summaries - but video recordings will not be saved. Useful for teams with storage concerns or who don't need video playback.

ℹ️ Transcript-only mode applies to both the bot recorder and local recorder - enabling it affects all recordings in your workspace, regardless of method.

To enable:

  1. Go to Settings → Workspace → Email and meetings → Meeting recording.

  2. Toggle on Transcript-only mode.

💡 Transcripts and AI-generated insights are still available when this mode is enabled.


Background image

When enabled, Clarify displays a background during your call while recording. Upload your own background image (JPEG, 16:9 aspect ratio) or use the Design background tool to create a custom one.


Troubleshooting

The notetaker didn't join my meeting
Check that your calendar is connected and that auto-record is enabled in Settings → Account → Email and meetings → Meeting recording. Also confirm the meeting was on your connected calendar - the notetaker cannot join meetings outside your calendar. If the meeting appeared on your calendar and the notetaker still didn't join, contact support.

The recording is missing or didn't process
Recordings typically process within a few minutes of the meeting ending. If the recording hasn't appeared after 30 minutes, check that the notetaker was present for the meeting. If it was, contact support with the meeting date and time.

The wrong meetings are being recorded
Review your account-level setting under Account → Email and meetings → Meeting recording. Account-level settings override workspace defaults - if set to "All," every calendar meeting will be recorded regardless of workspace settings.

The notetaker joined a meeting after I disconnected my calendar
Expected, and it does not mean Clarify still has calendar access. Meetings synced before you disconnected stay in your account and remain eligible for recording, so changing your recording setting can still dispatch the notetaker to them. Set Auto-record to None under Settings → Account → Email and meetings → Meeting recording to cancel anything already scheduled.

Recording has a transcript but no video?
Check whether Transcript-only mode is enabled: Settings → Workspace → Email and meetings → Meeting recording → Transcript-only mode. When this toggle is on, Clarify saves transcripts and AI summaries but does not store video. Disable it to capture video on future recordings. Recordings made while the toggle was on are not recoverable.
