Merge duplicate person and company records to consolidate information into a single, accurate record while preserving interaction history and linked data.

Merge duplicate records to consolidate information into a single, accurate record.

Select two or more person or company records and Clarify combines their fields, email addresses, interaction history, and linked data. You choose which record's values take precedence when there's a conflict.


How to merge

  1. Open the People or Companies list view

  2. Select two or more records using the checkboxes

  3. Click the merge icon in the toolbar at the bottom of the screen

  4. Choose a primary record β€” its field values win any conflicts

  5. Review conflicting fields and resolve as needed

  6. Confirm the merge

Merges can also be triggered from Rep (ask "merge these duplicate records") or via the MCP connector.

πŸ’‘ Tip: You can merge more than two records at once. Select all the duplicates you want to consolidate in the list view, then pick one primary.


Before you merge

Primary vs. secondary records

The primary record determines which value is kept when both records have data in the same field. Choose the record with the most complete or accurate information as primary. You can override field-by-field during the merge.

Single-value fields

When both records have a value for the same field (name, LinkedIn handle, etc.), only the primary record's value is kept. Review these carefully before confirming.

Multi-value fields

Fields that hold multiple values (email addresses, phone numbers) combine both records' values, with the primary record's values listed first. Check for duplicates after merging.

Activity history

The merged record's activity feed combines logs from all source records. Review the timeline after merging to confirm context is accurate.

Interaction timestamps by record type

Company records

  • First interaction: Earliest date from either record

  • Last interaction: Most recent date from either record

  • First email interaction: Earliest email date from either record

  • Last email interaction: Most recent email date from either record

  • First calendar interaction: Earliest calendar date from either record

  • Last calendar interaction: Most recent calendar date from either record

  • Next calendar interaction: Next upcoming event from either record

Person records

  • Email addresses: All unique addresses from both records

  • First interaction: Earliest date from either record

  • Last interaction: Most recent date from either record

  • First email interaction: Earliest email date from either record

  • Last email interaction: Most recent email date from either record

  • First calendar interaction: Earliest calendar date from either record

  • Last calendar interaction: Most recent calendar date from either record

  • Next calendar interaction: Next upcoming event from either record


Limitations

  • Deals cannot be merged. Only People and Company records support merging.

  • Rep bulk merge: Rep can only run autonomously for a period before it needs to check in with you β€” this is not a fixed record limit. If Rep pauses mid-merge, respond to its check-in to continue.

  • Merges are permanent. There is no undo. Review field conflicts before confirming.


Frequently asked questions

Can I undo a merge?

No. Merges are permanent. If you've lost important data, contact support β€” in some cases we can restore from a backup, but this isn't guaranteed.

Can I merge deals?

No. Only People and Company records can be merged.

What happens to linked deals when I merge two people?

Linked deals from both records carry over to the merged record. If both records were linked to the same deal, the merged record shows it once.

Can I merge more than two records at once?

Yes β€” select as many duplicates as you want in the list view, then merge them all in one step.

What if I pick the wrong primary record?

Merges are permanent, so field values from the non-primary record may be lost. If you realize immediately, contact support. To avoid this, review the field conflict preview carefully before confirming.

Does merging a person remove them from lists?

Not guaranteed. The merged record will appear in a list only if its data matches that list's filters. Clarify does not automatically carry over list memberships from the source records.

Can I find duplicates automatically?

Yes. Clarify includes built-in Duplicate people and Duplicate companies lists under People and Companies β€” these surface likely duplicates for you to review.
