Overview

This article explains how meeting visibility works in Clarify and who can see your meetings, notes, and recordings.


How Meeting Visibility Works

  • Clarify automatically syncs meetings from your connected calendar

  • Meeting visibility is determined by calendar invitation attendance and workspace membership

  • By default, meetings are visible to workspace members who were invited attendees

Who Can See Your Meetings

Meetings You Can Always See:

  • Meetings you organized

  • Meetings you attended (were invited to)

  • Meetings synced from your connected calendar

Meetings Other Workspace Members Can See:

  • Meetings where they were invited attendees on the calendar invite

  • Meetings they organized

  • Note: Being in the same workspace does NOT automatically grant access to all meetings

What Others CANNOT See:

  • Meetings marked as "Private" in your calendar (unless you enable "Include private meetings" in settings)

  • Meetings where they weren't invited attendees

  • Meetings from calendars they don't have access to


Private Meeting Settings

  • Private calendar appointments are excluded by default

  • To sync private meetings: Go to Settings > Account > General Settings > Enable "Include all private meetings"

  • Warning: This makes previously private meetings visible to other invited attendees in your workspace

Single-Person Meetings

  • Meetings with only one attendee (you) are excluded by default

  • These typically represent personal appointments, focus time, or errands

  • To include them: Go to Settings > Account > General Settings > Enable "Include single-person meetings"


Internal vs. External Meetings

  • Clarify uses your company email domains to distinguish internal from external attendees

  • This affects recording settings and intelligence features

  • Configure domains in Settings > Workspace > General Settings > Company email domains


Meeting Recording Visibility

  • Recording visibility follows the same rules as meeting visibility

  • Only invited attendees in your workspace can access recordings

  • Recordings respect your workspace recording settings (External Only, All, or None)


Enabling Global meeting visibility

It is possible to enable meeting visibility across your Clarify workspace - reply in this conversation or email [email protected] to get this switched on.

⚠️ When meeting visibility is enabled on, all fields of all meetings will be visible to all members of your workspace, including meeting recordings and transcripts.

FAQ's

Q: Can my manager see all my meetings? A: No. Managers can only see meetings where they were invited attendees, just like any other workspace member.

Q: If I share my calendar with someone, can they see meetings in Clarify? A: No. Calendar sharing permissions are separate from Clarify. They must be invited attendees on the meeting to see it in Clarify.

Q: Can I hide a meeting from other attendees? A: No. If someone was invited to the meeting and is in your workspace, they'll see it in Clarify. Mark it as Private in your calendar BEFORE syncing to exclude it.

Q: What about meetings I join ad-hoc without a calendar invite? A: These meetings won't appear in Clarify unless they're on your calendar. Add them to your calendar to track them.

Q: I only want to see all meetings of some members, and restrict access to others: This isn't currently available, but may be something we're considering for the future. If you're interested in this, then please let us know!
