Connect your email, calendar, and Slack to automatically sync contacts, meetings, and notifications into Clarify

Connect your email and calendar, and Clarify builds your CRM for you - creating contact and company records, linking them to the right companies, and capturing your meetings without manual data entry. Clarify connects to Google or Microsoft, imports your communication history, and keeps records current as you work.


Connect your email and calendar

  1. Open Connectors from the left sidebar

  2. Under Personal, click your Google or Microsoft tile - you'll see whichever you signed in with

  3. On the provider's consent screen, leave all permissions checked - Clarify needs email read, email send, and calendar access to work

ℹ️ Joining a workspace does not connect your email and calendar there automatically. If you belong to more than one workspace, connect them inside each workspace you want them to sync into.


What happens when you connect

  • Creates and enriches People and Company records from your communication history

  • Links each contact to their company automatically

  • Syncs your calendar and captures meetings

  • Enriches records from public data sources at no extra cost

Your first sync takes 10-30 minutes depending on inbox size. A "Syncing" indicator shows on the connector while it runs (hover to see records-synced progress).


What your team can see

By default, your emails and meetings are visible only to their participants - the people on the email thread or the calendar invite. One exception worth knowing: a meeting's title, time and participant list are visible to your workspace and can appear in search, even when the meeting itself is not shared. The recording, transcript, summary and notes are not. Other CRM data (people, companies, deals, and comments) is shared across your workspace by default, so your team can collaborate. An admin can set a record type to be private instead, in which case a new record of that type is visible only to its owner and anyone they share it with. See Sharing and permissions.

To share one meeting with a teammate, open the meeting and click Share, then add them as a Viewer or an Editor. To open that single meeting to everyone in your workspace instead, switch Only participants to the Everyone at option. Only people who attended the meeting, and workspace admins, can manage its sharing.

To give a teammate access to all your meetings or all your email at once, use Access delegation in Settings → Account → Email and meetings → Access, available on paid plans. Sharing a single email is not supported yet - delegation covers your whole mailbox rather than one thread. Workspace admins can also open visibility workspace-wide. Why you see email and meetings you never connected

Meetings and email appear in Clarify even before you connect your own account, and even if you never connect one. When a teammate connects their account, Clarify syncs their calendar and mailbox, and you show up on any invite or thread you were part of. Those items arrive through their connection, not yours. For who can then see them, see Sharing and permissions.

This is also why disconnecting your own account does not clear them. Disconnecting stops Clarify from reading your mailbox and calendar. Anything a teammate is also on keeps syncing from their side, because each person's connection is separate.

To stop a specific address from syncing at all, a workspace admin can use Block specific senders in Settings → Workspace → Email and meetings. This blocks the whole email or meeting rather than one person's view of it, so items other people are also on stop syncing for them too. It applies going forward and does not remove what is already there. See Email and Meetings.


Connect Slack (optional)

Connect Slack to get notifications about records you're subscribed to - comments, @mentions, record updates, and deal owner changes - delivered in Slack. Connect from Connectors - click the Slack tile under Personal. See Slack for setup and notification options.


Microsoft Exchange and Outlook calendars

⚠️ If you use Microsoft Exchange or Outlook with a conferencing link (Zoom, Google Meet, or Teams), include the link in the meeting's location or description. When an event has no structured conferencing link, Clarify scans both fields to detect the conferencing URL and decide which meetings to record.


Disconnect an account

To stop syncing email and meetings while keeping access to Clarify:

  1. Open Connectors from the left sidebar

  2. Under Personal, click your connected email and calendar connector

  3. Open the Connected dropdown

  4. Select Disconnect account

Existing data is preserved. To delete synced data, contact [email protected].
