HubSpot two-way sync

Written by Michael Simmons

Keep contacts, companies, deals, and custom objects the same in Clarify and HubSpot. Edit a record on one side and the other catches up, so your team can work in either tool without copying records between them.

Setup runs as a chat with Rep. You pick the direction and the objects, Rep reads both sides and proposes the field mapping, and the sync starts once you confirm.

🧪 Early access. The two-way HubSpot sync is rolling out to a small group of workspaces first.

Coming from HubSpot (Legacy)?

If your workspace shows a HubSpot (Legacy) tile, you're on the older one-way import. The two-way sync replaces it. Here's what changes when you switch:

HubSpot (Legacy)

HubSpot two-way sync

Direction

HubSpot to Clarify only

Both ways, or HubSpot to Clarify only. You choose.

Setup

A mapping wizard onto Clarify fields that already exist

A chat with Rep. Rep proposes the mapping and offers to create the fields you're missing.

Custom objects

Not supported

Supported on HubSpot Enterprise

Dropdown fields

Option counts must match exactly, or values get dropped

Rep maps HubSpot values to your Clarify options for you

Duplicates and mismatches

Skipped silently

Held back and reported, so you can fix them

Deletions

Deleting a record in HubSpot deletes it in Clarify

Not synced. Delete a record in both places if you want it gone everywhere.

Seeing what synced

A hidden HubSpot ID field on each record

A status panel per object, plus Diagnose, which tells you what synced and what needs attention

Switching: open the HubSpot (Legacy) tile and click Join the waitlist. Workspaces on the legacy connector move over first. Records the legacy connector brought in keep their HubSpot ID, and the two-way sync pairs on that ID before anything else, so your existing records are updated in place, not duplicated.

Before you start

  • You need to be a workspace admin in Clarify. The HubSpot tile only shows to admins, and Rep only sets up a sync for an admin.

  • In HubSpot, you need Super Admin or App Marketplace access permission. That's HubSpot's rule for installing any app.

  • Decide whether records should flow both ways or only into Clarify. You choose during setup.

Turn off HubSpot's company auto-create

HubSpot can create a company automatically when a new contact's email domain doesn't match an existing company. In a two-way sync, that races the company Clarify sends over, and you can end up with duplicate companies in HubSpot. Before you activate a two-way sync that includes companies and contacts, turn it off:

  1. In HubSpot, open Settings. Under Data Management, click Objects, then choose Companies from the Select an object menu.

  2. In the Automation section, clear Create and associate companies with contacts.

It's a HubSpot account setting, so someone with access to your HubSpot settings (usually a super admin) has to change it. Rep reminds you before activation.

Getting access

Open Connectors in the left sidebar and find the HubSpot tile under Team.

  • If it shows a Waitlist badge: open it and click Join the waitlist. You'll see "You're on the list!", and we'll let you know when it's your turn.

  • If you see HubSpot (Legacy) instead: open it and click Join the waitlist in the "A two-way HubSpot sync is rolling out" banner. We'll move you over first.

  • Once your workspace has access: open the tile and you'll see a Connect button.

What you can sync

  • Companies, contacts, and deals. These are what the sync is built around.

  • Relationships between them: a contact's company, a deal's company, and a deal's contacts.

  • Custom objects, if your HubSpot portal is on Enterprise. HubSpot only opens custom objects on that tier, so on lower tiers they won't appear, whatever your Clarify plan.

  • Deal pipelines. Your main pipeline fills Clarify's own Stage field, and Rep offers to create a Stage (pipeline name) field for each other pipeline. Only Clarify's Stage drives the deal board, win rate, and closed-won reporting, so pick your main pipeline with that in mind.

Rep can add what HubSpot is missing

If a field or object exists in Clarify but not in HubSpot, Rep can create it in HubSpot for you. Rep confirms each change with you. This needs the optional schema permissions when you authorize HubSpot, and custom objects need Enterprise.

What doesn't sync

  • Deletions. Deleting a record on one side leaves it on the other. Delete it in both places if you want it gone everywhere.

  • Cleared values. Emptying a field on one side doesn't empty it on the other.

  • Record owners. Assign owners in each tool.

  • HubSpot activity. Emails, calls, notes, and tasks don't sync.

  • Clarify's own system objects. Rep doesn't set up syncs for lists, workflows, campaigns, meetings, or users.

  • Fields the other side won't accept, such as HubSpot's calculated properties, which HubSpot works out itself. Rep only offers fields that can be written.

Setting up the sync

  1. In the left sidebar, open Connectors.

  2. Click the HubSpot tile, then click Connect. Rep opens a chat and takes it from here.

  3. Choose the direction: both ways, or from HubSpot into Clarify only.

  4. When the HubSpot card appears, click Connect and authorize Clarify in HubSpot. You land back in Clarify to carry on.

  5. Wait while Clarify scans your HubSpot account. It usually takes a couple of minutes. When it's done you get a "HubSpot data is ready to map" notification. Click Continue, click Continue setup on the HubSpot tile, or tell Rep to continue.

  6. Choose the objects to sync. Rep suggests companies, contacts, and deals, plus any custom objects in your portal. Take those, or pick your own set.

  7. Review the field mapping and the matching. Rep proposes a mapping and only offers fields the other side can write. Read How records are matched before you confirm this step.

  8. For a two-way sync, choose which side wins the first sync when the same record differs (see When both sides change a record).

  9. Confirm activation, and the sync goes live.

You get a "Your HubSpot data is arriving" notification when the first sync starts, and "Your HubSpot sync is complete" when it finishes.

How records are matched

Before anything is written, Clarify pairs up records that already exist on both sides, so an account you have in both systems is updated rather than duplicated. Each object is paired on one field the two systems share: companies on their domain, contacts on their email address, deals on their name. Records your legacy HubSpot connector imported pair on their HubSpot ID first.

This is the step to slow down on. Rep proposes a matching field for each object and asks you to confirm it, and you can choose a different one.

  • Empty matching field: the record can't be paired, so it's created on the other side instead. The same applies to companies whose domain is a personal email provider, such as gmail.com.

  • Shared matching value: when several records share the same value (two deals with the same name, say), none of them is paired or created. They wait until you deduplicate or rename them.

Pick a field that's filled in and unique to one record in both systems.

Once the sync is running, each object card in the connector panel shows what it's matched on, and Diagnose reports records that couldn't be matched and why.

HubSpot explains the same idea from their side in Match records in data sync.

When both sides change a record

  • First sync: for records that already exist on both sides, the side you picked as the winner overwrites any values that differ. The other side only fills in fields that are empty.

  • After that: the side with the most recent edit to the record wins.

Sync timing

For most accounts, changes reach the other side within a few minutes, in either direction.

Big batches can take longer, because HubSpot limits how fast apps can read and write.

The first sync takes the longest. A small account usually finishes in a few minutes, and a large one can take much longer.

What you see once it's running

Open Connectors and click the HubSpot tile. The panel shows:

  • A status badge:

    • Setting up: the sync is still being configured.

    • Matching records: Clarify is lining up records that exist on both sides.

    • Initial sync: the first sync is writing records.

    • Connected: the sync is live.

    • Paused: the sync isn't running.

    • Needs attention: something's blocking the sync. Click Diagnose.

  • How many records have synced, and when the integration last updated.

  • One card per object pair, with the Clarify object, the HubSpot object, and what they're matched on. Expand a card to see the field-by-field mapping.

  • A Diagnose button.

Checking on the sync

Click Diagnose on the connector panel. Rep pulls the integration status, tells you what has synced so far, and flags anything that needs attention.

You can also ask Rep about your setup directly, such as which fields are mapped on an object.

Changing the setup later

Ask Rep to add an object, map another field, or change a mapping. Changes take effect when you activate again, and Clarify fills the new fields in on records that already synced.

To replay every record, ask Rep to resync. Rep confirms first, because writes pause until records are re-matched, and the winner you picked overwrites fields that drifted apart.

Removing the integration

Ask Rep to remove your HubSpot integration, then confirm.

  • Removal is permanent. The configuration, the mappings, and the connection are deleted.

  • Records and field values that already synced stay in Clarify. Only the sync setup goes.

  • Setting it up again means reconnecting and re-mapping from scratch.
