HubSpot import (legacy)

Written by Michael Simmons

There's a newer HubSpot sync, and it works both ways. Your Clarify edits flow back to HubSpot, Rep sets up the mapping with you in a chat, and custom objects come along too. It's replacing this connector.

To switch, open the HubSpot (Legacy) tile and click Join the waitlist. Workspaces already on this connector move over first. See HubSpot two-way sync.

The HubSpot (Legacy) connector brings your HubSpot contacts, companies, and deals into Clarify and keeps them up to date as they change in HubSpot.

This connector is only available in workspaces that already use it. In other workspaces, admins see the new HubSpot tile instead, where you can join the waitlist for the two-way sync.

What gets synced

Clarify syncs the following by default:

  • Contacts/People: names, email addresses, and custom fields

  • Companies: company names, domains, descriptions, and custom fields

  • Deals: names, amounts, stages, close dates, and custom fields (optional)

  • Relationships: a contact's company, a deal's company, and a deal's contacts

For a full list of what gets synced by default, look at the bottom of this page.

How the sync works

One-way synchronization

  • Changes made in HubSpot update Clarify automatically.

  • Deleting a contact, company, or deal in HubSpot deletes the matching record in Clarify.

  • Edits made in Clarify don't sync back to HubSpot. (The two-way sync does.)

  • A newer Clarify edit isn't overwritten by an older HubSpot change. Clarify only applies a HubSpot update when it's more recent than the record's last change in Clarify. The check covers the whole record, so a Clarify edit to any field holds back HubSpot's changes to that record until it changes again in HubSpot.

Complete data history

  • Initial setup imports your historical HubSpot data.

  • Ongoing updates keep Clarify in sync with HubSpot changes.

Field mapping

  • Standard fields are mapped automatically.

  • Custom fields can be mapped to Clarify fields that already exist.

Setting up your integration

Only workspace admins can connect or manage this connector.

Before you start, create custom fields in Clarify for the HubSpot fields you need. The mapping step only lists fields that already exist in Clarify.

  1. In the left sidebar, open Connectors.

  2. Click the HubSpot (Legacy) tile under Team.

  3. Follow the steps to grant Clarify permission in HubSpot.

  4. Choose which objects to sync and map your custom fields. Contacts' history imports only when companies are selected too, and deals' only when both companies and contacts are.

  5. Save your configuration to start the sync.

Sync timing

Fast updates (usually within seconds)

Key fields update quickly when they change in HubSpot:

  • Contacts: email, additional emails, first and last name

  • Companies: domain, additional domains, name, description

  • Deals: name, description, close date, amount, stage

Everything else

  • Changes to other fields can take up to 10 minutes to appear.

  • The initial import can take several hours, depending on how much data you have.

Working with synced data

Dropdown fields

  • When you map a dropdown field, HubSpot and Clarify need the same number of options, and each HubSpot option maps to one Clarify option.

  • A HubSpot value that isn't mapped and doesn't exactly match a Clarify option name is skipped.

  • Multi-select fields receive a single value.

Identifying synced records

  • Clarify stores each synced record's HubSpot ID and uses it to match future updates.

Known limitations

One company per deal or contact

  • HubSpot lets a deal or a contact belong to several companies. Clarify links each deal and each person to one company.

  • When a record has several companies in HubSpot, Clarify keeps one of them. A later association change in HubSpot replaces it.

Owners

  • Record owners don't sync for contacts, companies, or deals. Assign owners in Clarify.

Pipelines and stages

  • Clarify sets up your HubSpot pipelines and stages when you connect. Your default pipeline fills Clarify's Stage field, and each other pipeline gets its own Stage (pipeline name) field.

  • Pipelines or stages you add in HubSpot later don't come through until you reconnect.

Unique fields

Clarify matches incoming HubSpot records on its unique fields. If several HubSpot records share a value in one of them, only one record is created in Clarify.

These are unique by default:

  • Contact email addresses

  • Company domains

  • Deal names

A custom field created with Require unique values turned on is matched the same way. Text, Number, Currency, Multiline text, Date, and Single select fields can be made unique, and only when the field is created. The setting can't be added to a field that already exists.

A HubSpot record that matches more than one Clarify record is skipped.

Date handling

  • Time zone information can be lost when syncing date fields, so a date can occasionally show one day off between systems.

  • A year-only value, like founded year, becomes January 1 of that year.

What doesn't sync

  • Owners, lists, and custom objects

  • HubSpot activity: emails, calls, meetings, notes, and tasks

  • Tickets and other HubSpot objects

Need custom objects? The two-way sync covers them on HubSpot Enterprise.

Maintaining your integration

Adding new fields

  1. Create the field in Clarify first.

  2. Return to the HubSpot (Legacy) connector to map the new field.

  3. Save your changes.

  4. Historical data backfills for the new field automatically, unless the record was changed in Clarify after the sync last updated it.

Moving to the two-way sync

Your existing records come with you. Records this connector imported keep their HubSpot ID, and the two-way sync pairs on that ID first, so they're updated in place, not duplicated. To switch, open the HubSpot (Legacy) tile and click Join the waitlist.

See HubSpot two-way sync for what changes when you switch, including how deletions and dropdown fields work there.
