Delete your workspace or remove users

Written by Michael Simmons

When you need to close a workspace or remove someone from it, Clarify gives you two distinct paths: delete the entire workspace, or remove a specific user. Both require Admin role.

Cancelling a subscription is a different thing and does not delete anything: you keep paid features until the end of the billing period and then move to the Free plan, with the workspace and its data still there. See Billing, pricing and payments if that is what you are after.

Delete your workspace

Deleting a workspace permanently removes all data - records, meetings, recordings, and integrations. This cannot be undone after the 2-week grace period.

Requires: Admin role

  1. Go to Settings → Workspace → Billing

  2. Scroll to the bottom and click Delete Workspace

  3. Enter feedback explaining why you're deleting (minimum 15 characters)

  4. Type delete workspace in the confirmation field

  5. Click Permanently delete workspace

What happens immediately:

  • Subscription cancelled

  • All integrations disconnected (email, calendar, HubSpot)

  • Meeting recording bots disabled

  • All workspace members lose access

What happens after 2 weeks:

  • All recordings permanently deleted from storage

  • All attachments and record data permanently removed

  • Workspace fully removed from Clarify's systems

Export anything you want to keep before you delete. Once the 2-week grace period ends the data is gone and cannot be recovered. You can export records to CSV from any list - see CSV export.

ℹ️ Support can restore a deleted workspace during the 2-week window. Contact us as soon as possible if you deleted by mistake.

Remove a member from your workspace

Removing a member blocks their login and stops their email and calendar sync. Their meeting recordings and CRM data remain in the workspace.

Requires: Admin role

  1. Go to Settings → Workspace → Members

  2. Find the user in the list

  3. Click the trash icon on their row

  4. Confirm the removal

The user is soft-deleted - their record is preserved and can be restored by contacting support.

ℹ️ Members cannot remove themselves. If you're a Member and want to leave a workspace, ask an Admin or contact support.

Leave a workspace (Admin)

Admins can remove themselves from a workspace as long as at least one other Admin remains.

  1. Go to Settings → Workspace → Members

  2. Find your own row

  3. Click the trash icon and confirm

If you are the only Admin, promote another member to Admin first, then remove yourself.

Delete your Clarify account entirely

There is no single button to delete your Clarify account across all workspaces. To fully leave Clarify:

  1. Delete any workspaces you own

  2. Ask an Admin to remove you from any workspaces you belong to as a Member

For a full data deletion request (GDPR or similar), contact support. Two things are worth knowing before you do:

  • The steps above do not erase your data on their own. Being removed from a workspace soft-deletes your user record and keeps it, so if you need the data actually erased, say so when you write in.

  • We will offer you a window to export anything you want to keep first. Tell us if you would rather skip that and have us proceed straight away.

Troubleshooting

Email or calendar won't reconnect after workspace deletion

If you delete a workspace and later create or join a new one, you may run into issues reconnecting your email or calendar. Contact support and they'll sort it out.
