Some values you want on a record are not typed by anyone: a deal's days since close, a company's total pipeline, an ICP rating, the competitors a deal mentioned. Autofill fills a field for you, so nobody keeps it up to date by hand. Choose how the field gets its value:
Type | What it does | Use it for | Credits |
AI | Follows your instructions, reading the record, related records, and optionally the web | Judgment and research: ICP fit, deal blockers, win/loss reasons | Yes |
Formula | Calculates the value from other fields | Math, a value from a linked record, counts and totals | No |
An autofilled field is still a normal field. You can filter, sort and search on it, and use it in views and agents. The third option in the field dialog, Enrichment, isn't available yet.
Formula fields are on any paid plan, with unlimited formula fields on Growth and above.
For fields that hold values you enter or import yourself, see Managing fields. For filling standard company and person details automatically, see Enrichment, which runs on its own.
Turn on autofill
In a list view, click + at the end of the column headers, then Create new field. To change an existing field, open its header menu and choose Edit field.
Click the Configure tab, pick a Type and enter a Name.
Turn on Autofill.
Choose AI or Formula, then set it up as described in that section below.
Click Create, or Update for an existing field.
To remove a field, open Edit field and click Delete.
⚠️ Built-in fields can't autofill. Fields that ship with Clarify, including Job title, Phone numbers, Primary location and Email addresses, have no Edit field option, so autofill can't be turned on for them. Create a new field to hold the autofilled value and keep the built-in field for what you enter yourself.
AI
AI autofill fills in what is not in your CRM yet: which competitors a deal mentioned, why a customer churned, how big an account's alumni network is. It works from data Clarify already holds or from the public internet, so you are not researching one record at a time.
How AI autofill works
When you create a field with AI autofill:
You provide instructions describing what the field should contain
The AI analyzes available data from the record, plus any related records you add with Add context. Comments on records are not included as a data source.
The AI populates the field following your instructions
Autofill writes the value straight to the field. There is no suggestion to review and nothing to accept, which is what separates it from Deal suggestions and suggested deal field updates. To check how a value was reached, use AI reasoning on the field.
Context limits: When you reference related records (like meetings or emails), the AI uses the 10 most recent records. If 100 meetings exist, only the latest 10 are analyzed.
Fields with autofill enabled show a ✨ icon next to the field name in lists.
Generate with AI (recommended)
This approach writes the field configuration and autofill instructions for you.
In a list view, click + at the end of the column headers, then Create new field
On the Generate tab, describe the field you want or select a smart suggestion
Click Generate
Clarify creates the field name, selects the field type, writes autofill instructions based on your description, and decides whether the field uses internet research. It checks Use internet research on when your description implies data that is not in your CRM, such as company size, funding or industry detail, and leaves it off when the value can be derived from what the record already holds.
That decision sets the field's rate, so check it before you create. Internet research takes a field from 3 credits per record to 30. The Configure tab shows the current rate as a per-row badge next to the Create button, and you can switch internet research off there if your data is already in Clarify.
Then,
Review the configuration on the Configure tab
Edit if needed, then click Create
Choose an option:
Create and autofill first 10 rows (recommended for testing)
Create and autofill all rows
Create and don't autofill
Set up AI by hand
Use this when you know exactly what field type and instructions you need.
In a list view, click + at the end of the column headers, then Create new field, or open an existing field's header menu and choose Edit field.
Click the Configure tab, pick the field Type and enter a Name.
Turn on Autofill and choose AI.
Enter autofill Instructions (see Writing autofill instructions below).
(Optional) Click Add context to reference related records.
(Optional) Check Use internet research, at the top right of the Instructions box, if the AI needs to look up public information.
Click Create and choose an autofill option, or Update for an existing field.
💡 Relationship fields (early access): AI autofill for relationship fields (many-to-one, one-to-many, many-to-many) is rolling out and may not be available in your workspace yet. When enabled, the AI picks and links the most relevant candidate records automatically.
✨ Rewrite with AI: If your existing instructions use plain language instead of context variables, click Rewrite with AI in the instructions box. The same button reads Generate with AI while the instructions box is empty. Clarify restructures your prompt to include the right variables while preserving your intent.
Writing autofill instructions
Good instructions are specific and include the expected output format.
Format matters for text fields:
If you want names: "Return the person's full name, like 'Sarah Chen'"
If you want yes/no: "Return 'Yes' or 'No'"
If you want lists: "Return a comma-separated list, like 'Competitor A, Competitor B'"
Handle missing data explicitly: When the AI cannot determine a value, tell it what to output instead of leaving the field empty.
Example: "If no churn reason is found, return 'No reason identified'"
Reference additional context: Click Add context (or type {) to add related records to your instructions. This gives the AI access to data beyond the main record.
Example: To analyze meeting history with a company, insert
{People > Meetings}to include the last 10 meetings with people at that company
⚠️ Instructions alone don't grant data access. Writing "analyze meetings and emails" in your prompt doesn't give the AI access to that data. Insert the variable with Add context (or type {). Without it, the AI can only see fields on the record itself.
Which variables are available
Email context is called Messages. Which variables you see depends on the object the field is on:
Field is on | Variables |
People | Company, Meetings, Messages, Company > Deals |
Companies | People, Deals, People > Meetings, People > Messages, Deals > Tasks |
Deals | Company, People, Company > Deals, People > Meetings, People > Messages |
Custom relationship fields on the object appear as variables too.
The prefix tells you whose data you get. On People, Messages means that person's own emails. On Companies and Deals, People > Messages means emails from everyone linked to that record, still capped at 10 in total rather than 10 each. Pick the object that matches the value you want to store: per-person details belong on People, where the field reads that person's own email.
Be specific about data sources: Tell the AI where to look.
Good: "Analyze the last 5 emails and meetings to identify competitors mentioned"
Vague: "Find competitors"
Run AI autofill
From list views
Click the header of any field with AI autofill enabled (✨ icon) and select:
Autofill first 10 rows - Test and validate before running on all records
Autofill all rows - Process all records in the current list
Autofill empty rows - Only fill records where the field is currently empty
💡 Filter first: Apply filters to your list before running autofill to process only specific records.
From individual records
Open a Deal, Company, or Person record
Click the field with autofill enabled
Select Run autofill
This processes only the current record.
Field processing states
After triggering autofill, records progress through these states:
Queued: Request received, waiting to process
Processing: AI is analyzing and generating output (displays "Shaping," "Spinning," "Ideating," or "Pondering")
Complete: Field is populated
View AI reasoning
To see how the AI populated a field:
Hover over any autofilled field
Click 🗒️ AI reasoning
This shows the logic and data sources the AI used to generate the value.
What this costs
AI autofill consumes credits per record per field:
Internet research | Credits per record |
Disabled | 3 credits |
Enabled | 30 credits |
Example: Autofilling 100 records on one field = 300 credits (no internet research) or 3,000 credits (with internet research).
The setting sets the rate, not the searching. A field with internet research enabled costs 30 credits for every record it fills, including records where the answer was already on the record and the AI never went looking. Instructions like "use internet search only if the field is empty" change what the AI does, not what you are charged. If most of your rows already hold the data, turn internet research off and the same run costs 3 per record.
Only records that fill successfully are charged. The rate for the field you are creating or editing appears as a per-row badge on the Configure tab, next to the Create or Update button. Multiply it by your row count before choosing Autofill all rows: a 3,000-row list on a 30-credit field is 90,000 credits.
When to use internet research: Check it when the AI needs publicly available information not in your CRM (company funding data, headcount, news). Disable it when analyzing data you already have (meeting notes, emails, deal history).
Internet research cannot access authenticated pages (LinkedIn profiles, paywalled content).
For what else draws on your credits and how to bring the total down, see What uses credits, and how to control the spend.
AI use cases
AI use cases
Deals
Identify competitors
Track which alternative solutions your prospects are evaluating.
Field type: Multiline text
Instructions: "Analyze recent meetings and emails to list competitors or alternative solutions mentioned. Return a bulleted list. If none are mentioned, return 'No competitors identified.'"
Internet research: Disabled
Cost: 3 credits per record
Find deal blockers
Surface product gaps or feature requests preventing deals from closing.
Field type: Multiline text
Instructions: "Review recent emails and meetings for items explicitly described as blockers (feature requests, product limitations, pricing concerns). List each blocker. If none exist, return 'No blockers identified.'"
Internet research: Disabled
Cost: 3 credits per record
Capture win/loss reasons
Automatically document why deals closed won or lost.
Field type: Multiline text
Instructions: "Analyze the most recent 5 emails and meetings to determine why this deal was won or lost. Provide a concise 1-2 sentence explanation. If no reason is evident, return 'Reason not documented.'"
Internet research: Disabled
Cost: 3 credits per record
Calculate derived values
For math on your fields, like a weighted deal amount, use Formula instead. It's exact, updates on its own, and doesn't use credits.
Companies
Score ICP fit
Evaluate whether companies match your Ideal Customer Profile criteria.
Field type: Single select (options: "Strong fit," "Moderate fit," "Weak fit")
Instructions: "Evaluate this company against our ICP criteria: [insert your specific criteria like industry, employee count, revenue range, tech stack]. Return 'Strong fit' if all criteria match, 'Moderate fit' if 2-3 match, 'Weak fit' if fewer than 2 match."
Internet research: Enabled
Cost: 30 credits per record
Research company funding
Track funding rounds and total capital raised for VC-backed companies.
Field type: Number
Instructions: "Research and return the total funding raised in millions (USD). If no funding data is available, return 0."
Internet research: Enabled
Cost: 30 credits per record
Document churn reasons
Capture why customers canceled based on exit interviews or emails.
Field type: Multiline text
Instructions: "Review recent emails and meetings where cancellation was discussed. Summarize the stated reason for churn in 1-2 sentences. If no reason is mentioned, return 'No reason provided.'"
Internet research: Disabled
Cost: 3 credits per record
AI limitations
Context is limited to 10 recent records
When your instructions reference related records (meetings, emails, etc.), the AI analyzes only the 10 most recent. If you have 50 meetings with a company, only the latest 10 are considered.
Emails are trimmed before the AI reads them
Quoted reply history is removed from each email, so earlier messages in a thread are only read as their own separate records. Signature blocks are often removed as well, depending on the email client that sent the message. Contact details typed into the body of a message come through reliably; details that appeared only in a signature often don't. Very long emails are shortened, and the AI is told when that happened.
Meeting transcripts are not available
The AI cannot access full meeting transcripts. It uses meeting summaries only.
Comments are not available as a data source
AI autofill cannot access comments on records. If you need the AI to analyze specific context, ensure it's captured in meetings or emails rather than comments. Note: Deal Summaries and Rep can access comments - this limitation is specific to AI autofill.
Auto-run requires configuration
By default, autofill does not run automatically - you run it manually. Automatic re-run on record create or update is in early access and may not be available in your workspace yet.
Internet research is limited to public information
The AI cannot access:
Pages requiring authentication (LinkedIn profiles, internal systems)
Paywalled content
Private databases
AI troubleshooting
Field populated with incorrect or irrelevant data
The instructions may be too vague. Revise to be more specific about:
Which data sources to use
What format the output should take
How to handle missing data
Run autofill on 10 rows first to validate before processing all records.
Field left empty when data should exist
Check if:
The AI has access to the necessary data (use Add context to add related records)
Your instructions tell the AI what to output when data is missing
Internet research needs to be enabled for external data lookups
Field shows a warning icon instead of a value
Autofill failed on that record. Hover the icon to see why:
A temporary AI provider error - run autofill again on that record.
Too much data to process for that record - trim the field’s inputs before running again. Retrying without changing anything will fail the same way.
You can always edit the value by hand instead. If the field already had a value, it stays visible next to the warning icon.
This is different from a field left blank because no matching data was found - see above.
Autofill consumes more credits than expected
Each record processed consumes credits per field:
3 credits per record (no internet research)
30 credits per record (with internet research)
If you autofilled 100 records on 3 fields with internet research enabled, that's 9,000 credits (100 × 3 × 30).
Two things to check on the field itself. First, whether Use internet research is checked: open Edit field and read the per-row badge, since a field created with Generate with AI may have had it switched on for you. Second, whether the run covered more rows than you meant, because Autofill all rows processes every record in the list: filter the list first, and use Autofill empty rows when you only want the gaps.
Turning internet research off does not refund what has already run, but it drops the field to 3 credits per record from then on.
AI FAQ
AI FAQ
Why is variable context limited to the last 10 records?
To balance AI performance with context quality. The AI analyzes the most recent data to ensure relevance.
Can the AI see meeting transcripts?
No. The AI uses meeting summaries only. Full transcripts are not provided.
Can I automatically re-run autofill?
Automatic re-run on record create or update is in early access and may not be available in your workspace yet. Otherwise, autofill runs manually.
I imported a column that already has the values. Do I need AI autofill?
No. Map that column during the import and the values come in as they are, with no credits used. Use AI autofill when you want a value Clarify does not already hold: a classification, a summary, or something looked up on the internet.
Can I run autofill on records I've selected in a list?
Not from the selection toolbar. Autofill runs from the column instead: open the field's header menu and choose Autofill first 10 rows or Autofill all rows. It covers the list you're in, including any filters, so filter the list first to narrow it down. Once some rows have a value, an option to fill only the empty rows appears too.
Can I trigger autofill through the API?
Not at the moment. Autofill runs from the list view or from an individual record.
Formula
A formula calculates the field from other fields, so it's always exact and always current. Formulas don't use credits.
A formula can fill these field types: Text, Multiline text, Number, Currency, Checkbox, Single select, and Date. Anyone who can add fields can create a formula field.
Create a formula field
In a list view, click + at the end of the column headers, then Create new field.
Click the Configure tab, pick the Type the result should be, and enter a Name.
Turn on Autofill and choose Formula.
Write the formula. Type { to pick a field: choose a field on the record, or choose a linked object (like Deals) and then one of its fields. The field drops in as a pill, like
{Deals > Amount}.Check the badge under the editor. Valid means the formula is ready. Invalid comes with the reason.
Click Create.
Clarify fills the field on every existing record right away, then keeps it up to date. You don't need to run it.
To change the formula, open the field's header menu, choose Edit field, edit it, and click Update. To stop the field calculating, turn off Autofill there. To remove the field, click Delete.
What you can write
Formulas use SQL. Pills stand for fields, so {Deals > Amount} is each linked deal's Amount. A few examples:
What you want | Formula |
Math on the same record |
|
A value from a linked record (on People) |
|
Count linked records (on Companies) |
|
Total across linked records (on Companies) |
|
Total with a condition |
|
Days since a date (on Deals) |
|
A date from another date |
|
The latest date across linked records |
|
A tier, into a Single select field |
|
Field names and option values like 'Won' depend on your workspace. Pick fields from the { menu, and match option values exactly as they appear.
To count linked records, type the object's name, like count(deals).
Totals can count only the records you care about: add FILTER (WHERE ...) after sum, count, avg, min or max, like the won-deals example above.
For a Single select field, the formula has to return one of the field's options exactly.
A formula reads fields on the record itself, or follows one link to related records. {Deals > Amount} works. A link two steps away, like a company's deals' contacts, doesn't.
When it updates
When you change a field the formula uses.
When a linked record changes. Edit a deal, and the company's deal total updates.
Once a day at about 00:30 UTC, for formulas that use today's date (
current_dateornow()).
When you create or change a formula, Clarify recalculates every record. On a large table this can take a few minutes, and the field stays blank until it reaches each record.
Blank values
A formula treats an empty field as blank, not as zero.
If a field the formula uses is blank, the result is usually blank.
{Amount} * 0.2is blank when Amount is empty. To treat a blank as zero, wrap it in
coalesce:coalesce({Amount}, 0) * 0.2.A total over no linked records is blank, not 0. Use
coalesce(sum({Deals > Amount}), 0)to show 0.countalready returns 0.Comparing a blank to something gives blank, not false.
CASE WHEN {Amount} > 1000 THEN 'Big' ELSE 'Small' ENDgives Small for a blank Amount, since a blank never matches. If a record can't be calculated, for example dividing by zero, that record's field stays blank and every other record still fills. To avoid it, use
NULLIF:{Won amount} / NULLIF({Total amount}, 0).
Totals and private records
Totals and counts only include records shared with the workspace. Everyone sees the same number, and a teammate's private deals aren't counted. When someone shares a record with the workspace, or stops sharing it, the totals update.
Formula limitations
A formula field is read-only. To change its value, change the fields it uses or the formula.
A formula can't use another formula field.
A formula can't read Meetings, Messages, Tasks, or Attachments yet.
A formula can't use secured or sensitive fields.
If you archive a field a formula uses, the formula stops updating. Edit the formula to remove it.
Formula troubleshooting
The field is blank on every record. If you just created or changed the formula, give it a few minutes to reach every record. Otherwise check that the fields it uses have values.
The field is blank on some records. A field the formula uses is blank on those records, or the record divides by zero. See Blank values.
A total looks too low. Totals skip blank values, and they only count records shared with the workspace.
A Single select value shows as a gray pill with a warning. The formula returned a value that isn't one of the field's options, and hovering shows "This value does not exist in the options". Match the formula's values to the options exactly, or add the missing option.
The editor says Invalid. Read the message under the editor. It names the field or function it can't use. Unfinished means the formula isn't complete yet, for example a bracket is still open.
The editor said Valid, but the field won't save. The badge checks how the formula is written. The result type is checked when you save, so a formula that returns text can't fill a Number field. Change the formula or the field type.
Typing a field name in braces doesn't work. Pick fields from the { menu so they drop in as pills.
Choosing a type (FAQ)
Choosing a type (FAQ)
Should I use AI or a formula?
Use a formula when the answer comes straight from your data: math, a value from a linked record, a count, or a total. Use AI when the answer needs judgment or research, like scoring fit or summarizing why a deal was lost.
Does autofill use credits?
AI does, at the rates in What this costs. Formulas don't.
Can I type over a formula's value?
No, a formula field is read-only.
What happened to AI fields?
They're now autofill fields of type AI. Turn on Autofill and choose AI. Nothing changed about how they work.
