Meetings are Clarify's record of every call - the transcript, summary, and the people who were on it - linked automatically to the people, companies, and deals involved.
Unlike People, Companies, and Deals, meeting records aren't created from a blank form. Clarify builds them from a recording, an imported transcript, or a Rep request.
How meeting records are created
There's no "Add Meeting" button. A meeting record needs a transcript or recording behind it, so Clarify creates them one of these ways:
Calendar + recording (automatic) - the most common path. Connect your calendar and enable recording; Clarify detects the meeting, records it, and creates the record automatically. See Meeting recording.
Quick Record (ad-hoc, macOS desktop app) - starting a recording for a call that isn't on your calendar creates a standalone meeting record on the spot. See macOS App.
Rep transcript import - attach a transcript from another tool (Fireflies, Otter, Gong, etc.) in Rep chat and ask it to create a meeting record. Rep fills in the title, participants, timing, meeting type, and summary. Requires file upload to be enabled for your workspace.
MCP import - if your workspace has Granola, Sybill, or Attio connected via MCP, meetings from those tools can be imported as Clarify meeting records.
ℹ️ Had a call Clarify didn't record and none of the above fits? Log it as a comment on the person, company, or deal instead - open the record's activity timeline and use "Leave a comment." See Understanding your data in Clarify.
What's on a meeting record
Open any meeting from Meetings in the left sidebar. Each record includes:
Title and date/time - pulled from the calendar event, or set directly for ad-hoc meetings
External and internal attendees - listed separately, based on your company email domains
Type - categorizes the meeting (Sales: Discovery, Sales: Closing, CS: Onboarding, CS: Account Review, CS: Support, or a custom type your workspace has added). Determines which summary template is used - see Meeting summary templates
Description - context for the meeting. On calendar-synced meetings this comes from the calendar event
Notes - a rich-text field for anything you want to add manually alongside the AI summary
Summary and transcript - generated after a recorded meeting ends. See Meeting intelligence
Meeting brief - AI prep generated ahead of external meetings. See Meeting intelligence
Activity feed - comments and updates related to the meeting
Tasks - action items Clarify created from the conversation
Finding and organizing meetings
Meetings in the left sidebar - browse Past meetings or Upcoming
Home page - meeting cards for today's schedule
On a related record - meetings tied to a person, company, or deal show on that record's activity timeline
Search - Cmd/Ctrl + K, or ask Rep
Meetings link automatically to the people, companies, and deals involved based on attendee email addresses.
Working with a meeting record
Publish to the web - share a public link to the recording, summary, and transcript. See Published meetings
Draft a follow-up email - generate an AI email from the meeting page. See Meeting intelligence
Chat with Rep - ask questions about the meeting directly from its page. See Meeting intelligence
Change the meeting type - update it from the Details panel. See Meeting summary templates for how this affects the summary
Fields set by your calendar
When a meeting comes from a connected calendar, the fields the calendar event owns stay in sync with it and can't be changed from Rep or an agent: title, description, location, meeting link, start and end time, attendees, all-day, and visibility. To change any of those, edit the event in your calendar app and let it sync back.
Everything else on the record is yours to set, including Type, Notes, Summary, Meeting brief, and any custom fields your workspace has added. Meetings created by Quick Record or a transcript import have no calendar event behind them, so nothing is locked.
Visibility and recording settings
Who can see a meeting, whether it gets recorded, and how it syncs are controlled separately from the record itself:
Recording behavior (bot vs. local recorder, which meetings get recorded) - see Meeting recording
Who can see a meeting and its recording - see Understanding Meeting Visibility in Clarify
Sync and filtering rules (private meetings, single-person meetings, blocklists) - see Email and Meetings
Limitations
There's no blank "Add Meeting" form - every meeting record needs a recording, transcript, or import behind it.
Deleting a meeting record is permanent - there's no recycle bin. See Understanding your data in Clarify.
FAQ
Can I manually add a meeting the way I add a person or deal? No. There's no blank form - Clarify needs a recording, an imported transcript, or a Rep request to create a meeting record. For anything else, log it as a comment on the related person, company, or deal record.
What's the difference between a meeting's Notes field and a comment on a person or deal? Notes live on the meeting record itself. Comments live on the activity timeline of a person, company, or deal, and are the right place to log something that didn't come from a recorded meeting.
Can I delete a meeting record? Yes, the same as People, Companies, and Deals - deletion is permanent and there's no recycle bin.
